Description:

Our client is a leading corporate event management agency who delivers excellent customer service, high attention to detail and a highly creative approach. They are looking to recruit a Graduate Event Coordinator to work in their offices near Banbury to support the Event Managers and senior team members with all types of meetings and events.

The role will include: 

Venue Search

  • From one day meetings to residential conferences, events and training courses; corporate events and gala dinners; activity days and team building; award ceremonies
  • Negotiating rates and reviewing contracts

Invoicing and Analysis:

  • Preparing event budget estimates and client invoices
  • Calculating and preparing accurate commission invoices to suppliers
  • Inputting data for Management Information for key clients

Administration

  • Preparing and writing proposals
  • Liaising with event team and venues with rooming list and other meeting details
  • File management and general administration
  • Create databases of specific information, e.g. venues specific to client needs

Communication

  • Provide clear reporting and communication with all members of the team and clients
  • Follow up calls to clients post event for feedback - provide feedback to suppliers
  • Negotiate best rates and added value service
  • Develop high level of customer care and rapport with clients
  • Promote add-on services to clients
  • Build relationships with venue and ancillary suppliers

General

  • Research potential new clients, venues and industry news
  • Client and business development including speaking to and calling database contacts
  • Proactively seeking ways to achieve financial forecast target
  • Support on-site for client events
  • Attend site inspections with the event team and clients
  • Attend familiarisation and educational trips
  • Undertake training to design and configure event website and online registration

Qualifications:

A good degree in Events Management, Business Studies or Business Management

Some work experience in Event Management or another high pressured environment would be ideal but not essential

Excellent communication skills

Excellent IT skills including a good understanding of Microsoft Office - including Word, Excel, PowerPoint and Publisher

Good understanding and use of social media sources.

Full driving license and own car
